Managing Duplicate Contacts

Duplicate contacts can occur when the same person enters your system using different information. EMVIRA ONE is designed to prevent duplicates automatically, but they can still happen in edge cases.

When Duplicates Can Occur

Duplicates may appear when:

  • A contact uses different email addresses

  • A contact submits forms with inconsistent data

  • Contacts are imported manually

  • Data is added from external sources

How to Identify Duplicate Contacts

  1. Go to Contacts

  2. Use the search bar

  3. Look for:

    • Similar names

    • Similar phone numbers

    • Multiple records with related information

What You Should Do First

Before taking action:

  • Open both contact profiles

  • Compare email addresses

  • Check activity timelines

This helps you understand which record contains the correct data.

How to Handle Duplicates Safely

If you suspect duplicates:

  • Do not delete contacts immediately

  • Do not merge contacts unless you understand the impact

Instead:

  • Contact support via Emmi

  • Ask for guidance or merging support

Incorrect merging can remove important history.

Best Practice

When in doubt, do nothing and ask for help.

Preventing data loss is more important than cleaning quickly.
